Privacy Policy
This policy explains how Elementra LLC processes personal data when you use Accountal.

1. Who we are
Elementra LLC (8 The Green, Ste B, Dover, DE 19901) is the data controller for personal data processed through Accountal. For privacy requests, contact hello@elementra.io.
2. Data we collect
Account and identity data
- name, email address, and authentication identifiers;
- password hashes or OAuth profile data when you sign in with Google;
- session and security logs related to your account.
Business and content data
- customers, vendors, quotes, invoices, bills, and catalog items you enter;
- documents, logos, and compliance files you upload;
- settings such as currency, tax rates, and reminder preferences.
Technical and usage data
- IP address, browser type, device information, and timestamps;
- cookie and local storage data, including consent preferences;
- optional analytics or marketing data only if you consent to those cookies.
3. How we use data
We process personal data to:
- provide, secure, and maintain the service;
- authenticate users and deliver transactional emails;
- store and generate documents you request;
- send compliance reminder emails you enable;
- improve the product when you consent to optional analytics;
- comply with legal obligations and enforce our terms.
4. Legal bases (EEA, UK, and Switzerland)
Where the GDPR or similar laws apply, we rely on the following legal bases:
- Contract — to create and operate your account and deliver the features you request.
- Legitimate interests — to secure the service, prevent abuse, and support users, balanced against your rights.
- Consent — for optional analytics and marketing cookies, and where required for certain communications. You may withdraw consent at any time through cookie settings.
- Legal obligation — where we must retain or disclose information under applicable law.
5. Sharing and processors
We do not sell personal data. We share data with service providers that help us operate Accountal, including:
- cloud database hosting (Neon PostgreSQL);
- document storage (Cloudflare R2);
- transactional email delivery (ZeptoMail);
- authentication providers such as Google when you choose social sign-in.
These providers process data under contractual safeguards and only as instructed by us. We may also disclose information if required by law or to protect rights, safety, and security.
6. International transfers
We are based in the United States. If you access the service from the EEA, UK, or other regions with data transfer rules, your information may be transferred to the U.S. and other countries where our providers operate. We use appropriate safeguards such as Standard Contractual Clauses where required.
7. Retention
We retain account and business data while your account is active and for a reasonable period afterward to resolve disputes, enforce terms, and meet legal obligations. Cookie consent records are kept until you change your choice or clear site data. You may request deletion as described below.
8. Your rights
Depending on your location, you may have the right to access, correct, delete, restrict, or port your personal data, object to certain processing, and withdraw consent. You may also lodge a complaint with your local supervisory authority.

9. Cookies
We use cookies and similar technologies as described in our Cookie Policy. Non-essential cookies are used only after you provide consent through our cookie banner or settings panel.
10. Children
Accountal is not directed to children under 16, and we do not knowingly collect personal data from them. Contact us if you believe a child has provided personal data.
11. Changes
We may update this policy from time to time. The effective date at the top of this page will change when we do. Material updates may be communicated by email or in-product notice where required by law.
